Placement

The Placement module transforms Toolbee from a simple lending system into a deployment tracking system. It lets you record where tools are physically stationed, who is responsible at each location, and when they should be returned.

What it does​

Place tools at physical locations​

When a tool is handed out, you can register where it has been placed. A Placement tab appears on each individual tool's detail page with two states:

Not yet placed:

  • A location picker lets you select a position on a map or enter an address
  • Only the current tool holder (or an admin) can set the placement

Already placed:

  • Return date — set or edit a deadline for when the tool should come back. Overdue dates are highlighted in red.
  • Contact person — name of the person at the placement location
  • Contact phone — phone number with a direct call button
  • Contact email — email address at the location
  • Physical placement — the address/description with a map button to view the location
  • "Take Home" button — removes the placement and marks the tool as returned

Map view​

The map modal can show all currently placed tools as markers on a map. You can filter by tool name, nickname, tags, or placement description, then click a marker to open the tool.

Audit trail​

All placement events are logged:

  • Place — when a tool is placed at a location (with GPS coordinates)
  • Unplace — when a tool is taken home
  • Placement update — when contact info or dates are changed

These events appear in the tool's history and in the company audit log.

Smart tab behavior​

If a tool is already placed, the Placement tab is automatically selected when you open the tool detail page. If both Placement and Booking modules are enabled, a segment switcher lets you toggle between them.

Where you see it in the app​

  • Company Settings → Optional Modules → Placement toggle
  • Tool detail page → Placement tab (for individual, non-stock tools)
  • Tool detail page → Map button on placed tools
  • Extended tool details → Physical placement info with map
  • Audit log → Place/unplace/update events
  • Company statistics → Placement count in the last 6 months

Who can use it​

  • Set/edit placement: current tool holder or company admin (not read-only users)
  • Edit return date: current tool holder or company admin
  • View placement info: all same-company users

Only individual tools support placement. Stock and pool tools do not have a placement tab.

How to activate​

Go to Company Settings and scroll down to Optional Modules. Toggle on Placement, then save. The Placement tab will appear on individual tool detail pages.

The price is shown next to the toggle in Company Settings. It is free on the Free plan.
